Model Table and Deal Posting Templates: Added Count, Comments, and Trade Stock Number

We have added three new enhancements to the F&I Deal Posting Templates setup. These enhancements apply to the Model Table “Add-on Accounts” only and Posting Template setups.

Count Column: The new Count column, when used, will override the count that automatically populates based on Journal Source and GL settings. The Count will initially populate in accordance with the Journal Source and GL settings, but once the posting is done, the template setting will be applied.

Comments/Remarks Field: The Comments/Remarks field, when used, will automatically populate into the Deal Posting when the template is applied. This description information will be used instead of the control’s description, when applicable. It is designed to be used as helpful information for Clerks who are posting deals.

Trade Stock Number/Include Column: Trade 1 Stock Number, Trade 2 Stock Number, and Trade 3 Stock Number have been added to the Control By dropdown. These options can be set to correspond with the new Include column so that add-on items will pull into a deal if that deal includes trade-ins. Note: The Control By and Include setting should match when they are utilized.

If your dealership has the minimum AMPS software version shown below, you already have the new enhancement.

AMPS Version: 3.4.412 or Higher. Click here for the location of your current AMPS version.

Deal Posting Templates for Product Only Desk/Mate Deals

Deal Posting Templates in the Desk/Mate Setup portion of System Configuration now includes a “Product” Sale Type for deals created in Desk/Mate* with the corresponding Sale Type. This option strictly looks at the Sale Type and does not use Vehicle Information. Based on the Accounting GLs that are used at the dealership, a Deal Posting Template should be added accordingly. *The Product Only sale type is exclusive to Desk/Mate.

Setup

  1. In System Configuration, access Desk/Mate Setup.

  2. Under Deal Posting, select Templates.

  3. Click Add.

  4. Add a Template Name.

  5. In the Sale dropdown, select Product.

  6. Add GLs to the applicable Tabs for Products sold (Accessories, Insurance, or Service Contracts).

  7. Add GLs for applicable tax and Cash Down or Cash on Delivery. Commonly products are always Cash Deals.

  8. Save Template. Repeat as necessary for each Template.

Using Templates:
Once the setup is completed, the applicable templates can be selected during the Deal Close-Out process in Desk/Mate to send the transaction to Accounting.

Additional information regarding the Deal Close-Out process in Desk/Mate can be found in the AMU Reference Center. Search keyword: DCO

Deal Posting Templates for Dealer Cash Incentives by Model

Upon completion of the setup, the new Dealer Cash Incentive feature in Deal Posting Templates will credit the GL from the Dealer Cash section of the model table for each applicable model.

1. In System Configuration, access Desking Setup.

2. Under Deal Defaults, click on Incentives.

3. Enter Dealer Cash in the Description. Add the Amount and select whether to Adjust Commission, Include New, and Include Used.

4. In the Dealer Cash column, select Yes.

Note: Only one incentive can be marked as Dealer Cash. If an employee desking a deal chooses a different incentive and changes the name to Dealer Cash, this feature will not work. They must select the code designated as Dealer Cash.

Note: This is designed to work with new vehicles for manufacturers who require that incentives be separated by model. It is the responsibility of the dealership to create the GLs for the incentives in accordance with manufacturer specifications.

5. Click Save.

6. Navigate to Templates, located under Deal Posting.

7. For each applicable New template, select the Use Model Table for Dealer Cash (Instead of COS) Note: Must be using “Use Model Table for Sale and Over Allowance” to utilize this feature.

8. Click Save.

9. Navigate to Models, located under Deal Posting.

10. For each model, add the applicable Incentive GL. Note: Even if the same GL applies, one must be added for Retail and Lease.

11. Once the deal is pushed into a template that has Dealer Cash, the template will use the Incentive GL for the incentive (income portion). Otherwise, the Cost of Sale GL will be used.

IMPORTANT: If the employee desking the deal chooses an Incentive other than Dealer Cash and changes the description, the system will not use the Incentive GL. They MUST choose the incentive specified in the setups.

ATTENTION SALES, F&I, OFFICE MANAGERS, and CONTROLLERS

Deal Close Out in Desk/Mate is HERE!

The New Deal Close Out and Deal Unwind in Desk/Mate will allow dealers to close out deals in the Desk/Mate module instead of accessing the F&I module. In conjunction with previous Desk/Mate enhancements, this will now allow dealership employees to work on deals, print forms, bill out, close out, and unwind deals all in the Desk/Mate Module.

Features and Benefits:

The general rollout to dealers is currently underway at no additional cost!

 Attention Office Managers

Have no worries! Deal Posting Templates will NOT be affected. The only thing that will change is how to access them… in Desk/Mate instead of the F&I Module.

*** IMPORTANT! ***

In an effort to streamline Deal Processing in Auto/Mate, upon Desk/Mate Deal Close Out/Unwind Deals activation, the F&I program numbers listed below will be removed from the F&I Module Menu screen. Review documents that illustrate how to perform these deal functions in Desk/Mate are now available on AMU.

Recommendation

For dealers who have the Desk/Mate module but are not currently using it, we highly recommend you begin using Desk/Mate.

Rollout Process & Self Training

We will update dealers in groups and they will be notified via the AMU “Heads Up” activation announcement when scheduled. In the meantime, we have created a Learning Path on the AMU Portal Training Center that contains review documents. Check it out!

To access the Learning Path, on the AMU screen, click on the TRAINING CENTER option and select MY LEARNING PATHS. The Learning Path titled “* New Feature Training – Deal Close Out & Deal Unwind in Desk/Mate” contains documents to learn the basic functions of the above enhancement.

New Sales Cost Calculation Feature in Vehicle Merchandising

Auto/Mate has added a new setup feature to Vehicle Merchandising that allows dealerships to modify the Sales Cost Calculation per company depending on their individual needs and process.

The setup is located in the General tab of Vehicle Merchandising System Configuration. This new setup feature applies to Desk/Mate, F&I, including Third Party Extracts.

Default Sales Cost = Total Cost + Holdback + Advertising + Cost Bump.

To view the Sales Cost Calculation in Vehicle Merchandising, simply hover over the Sales Cost in the Vehicle File.

This process can be used to clearly indicate the following on the printed invoice:

The general rollout to ALL dealers is now UNDERWAY!
